Film and media programs
Equipment cage checkout for film and media programs
Avio runs the equipment cage for film, photography, journalism, and media production programs: reservations online, checkout at the cage window, and access that follows the courses each student is in.
The cage, without the spreadsheet
Students reserve cameras, lenses, lights, and audio kits online. Cage staff see the day's pickups and returns on one dashboard and scan each unit's barcode as it goes out and comes back.
- Kits bundled as packages: body, lenses, batteries, and media go out together
- Availability checked against cage hours and every existing booking
- Barcode scanning at the cage window, so the record names the exact unit
- Due and overdue reminder emails
Gear follows the course a student is in
A first-year student gets the entry-level kit; an advanced production course unlocks the cinema camera. Access rules use enrollment from your registrar feed, so the cage does not keep its own list of who is allowed what.
- Rules by course enrollment, class standing, department, and group
- Training requirements for high-value gear
- Enrollment updated nightly from your student information system
Studios and edit suites in the same request
A shoot often needs a sound stage or a recording booth along with the gear. Rooms are booked in the same request as equipment, with the same access rules.
- Sound stages, recording booths, and edit suites as bookable spaces
- One confirmation covers the room and the kit
Damage and loss tied to the unit
When a lens comes back scratched, staff open a ticket on that specific unit, set its severity, and assign it. The audit log shows who had it last and when it went out.
- Tickets tied to the unit, not only the item type
- Assignment emails to the responsible staff member
- Usage reports by term to plan replacements and purchases
