Equipment checkout
Equipment checkout software for universities
Avio runs the equipment cage or checkout room for film and media programs, makerspaces, libraries, and any campus desk that lends cameras, audio kits, laptops, or tools. Students reserve online, staff check items out and in at the desk.
Students request what they need, staff confirm it
Students search the catalog, pick a pickup and return time, and send a request. Availability is checked against the desk's open hours and every existing booking, so a confirmed request is one the desk can actually fill.
- Equipment pooled by type, so a request is for any available unit of a camera model
- Packages bundle items that always go out together
- Items a student cannot book are shown with the reason
- Staff confirm or reject each request from one dashboard
A checkout desk built for pickups and returns
The staff dashboard shows the day's requests, pickups, returns, and overdue items. At the desk, staff scan each unit's barcode as it goes out and comes back, so the record names the exact unit a student has.
- Barcode scanning at pickup and return
- Due and overdue reminder emails
- Damage tickets tied to the specific unit, with severity and assignment
- An audit log of every confirmation, checkout, and return
Access rules on each item
A cinema camera can require enrollment in an upper-level production course and a completed training. Rules combine class enrollment, training, class standing, department, and group membership, and are enforced on the server whenever a booking is created or changed.
- Enrollment rules update from the registrar feed
- Training recorded by instructors or self-certified
- Staff roles control who confirms bookings and manages inventory
Usage numbers for purchasing and staffing
See how much of the inventory is in use each term, which items are borrowed most, and when pickups and returns happen.
- Utilization, checkouts, and average loan length per term
- Most borrowed items and current inventory status
- Pickup and return volume by weekday
