Access rules

Each item carries its own booking requirements

Rules combine class enrollment, completed training, class standing, department, and group membership. They are enforced on the server whenever a booking is created or changed.

Enrollment rules update from the registrar feed
Training can be recorded by instructors or self-certified
Staff roles control who can confirm bookings and manage inventory

Maintenance and records

Damage reports and a full audit log

Staff open a ticket when an item comes back damaged, set its severity, and assign it. Every confirmation, checkout, return, and rule change is recorded with who made it and when.

Tickets tied to the specific unit, not only the item type
Assignments notify the responsible staff member by email
Audit log filterable by period and category

Rosters from your student information system

Enrollments sync nightly, so course-based access stays current.

Step 1
Registrar export
Your student information system exports people and enrollments as CSV.
Three export files: people.csv with 18,204 rows, enrollments.csv with 91,550 rows, and terms.csv with 3 rows.
- people.csv18,204 rows
- enrollments.csv91,550 rows
- terms.csv3 rows
Step 2
Delivery
Files arrive nightly over SFTP, or an administrator uploads them.
A delivery log: people.csv, enrollments.csv, and terms.csv received at 2:00 AM, the completion marker received, and the import queued.
- 02:00:03 received people.csv
- 02:00:09 received enrollments.csv
- 02:00:09 received terms.csv
- 02:00:10 received .done
- 02:00:11 import queued
Step 3
Field mapping
Columns are matched to Avio fields once, during setup.
A field mapping table: STU_ID to Student ID, EMAIL_PRIMARY to Email, CLASS_LVL to Class standing, and DEPT_CD to Department.
- STU_IDStudent ID
- EMAIL_PRIMARYEmail
- CLASS_LVLClass standing
- DEPT_CDDepartment
Step 4
Checks before writing
Each import is compared with the last one. Suspicious drops are held for review.
An import summary: last successful import today with 18,204 people and 91,550 enrollments, and no removals held.
Step 5
Roster and access
Students sign in with their campus account and can book what their courses allow.
A student record for Maya Chen, matched by campus ID at sign-in, junior, enrolled in FILM 210 and ARTS 120, with access to the equipment those courses grant.
